Dear Preschool Families,
On behalf of the Olivet Preschool Committee and the Olivet Session, we welcome you and your family to the Olivet Preschool! There is a great deal of parental information in this handbook including the payment schedule. One month of Preschool tuition is due by Friday, June 30, 2017. These funds will apply to your May 2018 payment. Please take time to read over it, and let us know if you have any questions. A list of names and contact information is provided here.

Wi-Fi and cell phone service are spotty at the church. The phone number for the preschool is 434.295.0276. If you need immediate communication, please call the church office at 434.295.1367. Calls may be answered by voicemail if no one is available. The website for the Preschool is www.olivetpreschool.org. If during the school year, any of your personal information changes, please notify the teachers.
Preschool Arrival Time:
The arrival time is between 8:45-9:00am. If you arrive early, please wait with your child in the hallway until the teacher opens the classroom door. While other classrooms and other areas of the church may be tempting to explore, please use the basement hallway for drop off and pick up. If a child is teary, please separate quickly. The teachers will help him or her transition into the classroom.
Preschool Dismissal Time:
All children will be picked up at the classroom door by their designated adult. Dismissal is between 11:50am-12:00pm. If an emergency occurs, and you will be arriving after 12:00pm, please call the church office at 295.1367. A fee will be charged for pick up after 12:00pm.
Drivers, please use the west entrance to the church parking lot, closest to the playground equipment. There may be other groups meeting at the church, so please park in a spot, and walk your child to the classroom. Handicapped spaces are reserved for those displaying a handicapped decal.
Pick Up Authorization:
If your child is to ride home with someone other than the parent, please provide a note giving the name of the person. We will ask to see a valid driver’s license for proper identification. Wi-Fi and cell service are spotty at the church. During the school day, please call the preschool (434.295.0276) or church office (434.295.1367) to make any changes to your pick-up arrangement.
The basement doors are locked during the day except during drop off and pick up. Please use the double doors near the church office to enter the building, and check in at the office before going downstairs.
A copy of your child’s immunization record must be provided before school begins.
It is state law for parents to provide an original birth certificate for all children entering preschool. The Preschool staff will copy it and return it to you.
Please label all clothing, especially coats, sweaters, and jackets. We will be active every day, so closed toed shoes are preferable. Clothing your child can manage independently is also encouraged.
Please provide a labelled change of clothing (appropriate for the season) in your child’s backpack in case of an accident.
There is a $50 snack fee per semester. Please pay this fee by September 1, 2017 and by January 2, 2018.
Illness and Absence:
Please use the following guidelines when deciding whether or not to send your child to school:
- Fever – Your child must stay home with a temperature greater than 100 degrees. He or she may return to school only after the temperature has been below 100 degrees, without fever medications, for at least 24 hours.
- 2. Vomiting and diarrhea – Even if just once, your child must be vomit and diarrhea free for 24 hours before returning.
- Frequent cough – If congested or croup-like cough is frequent, please keep your child home.
- Excessive nasal congestion – If you are wiping your child’s nose more than 3 times in 10 minutes, please keep your child home.
- Antibiotics – A child needs to be on the medication for 24 hours before being considered non-contagious and able to return to school.
- Broken limbs, stitches, traumas – Please discuss with the teacher before returning to school.
- Head lice – Olivet Preschool and After School programs have a No-Nit Policy. Please see policy attached.
- Pink eye, chicken pox, etc. – Please notify the teacher if your child has exposed other children at school to any contagious disease.
If we feel your child is too ill to remain at school, we reserve the right to send your child home. If your child gets sick during the morning, you will be notified and required to pick up your child as soon as possible.
Medications will be distributed during the school day for emergency purposes only. If your child requires an EpiPen, inhaler, or other medical paraphernalia, please label and provide with a note from your doctor for correct usage in case of an emergency. Additionally, please fill out the Authorization to Administer Medication form in the registration packet.
The Preschool/Childcare will be closed when Albemarle County Public Schools are closed due to inclement weather. In the event of a one hour delay, the Preschool will operate on a one hour delay. In the event of a two hour delay, the Preschool will close; Childcare will open on a 2 hour delay. Other unforeseen circumstances may require closure or early dismissal of classes. Every effort will be made to provide adequate notice. Any days missed will not be made up. A Preschool calendar draft is included in the registration packet and available online.
There will be no refunds for days missed due to inclement weather or illness. If tuition is due during this time, the parent is responsible to see that tuition is postmarked on or before the 10th of the month. If school is closed, payment deadlines still apply.
While state law requires one adult for every ten children ages 24 months to 6 years, Olivet’s Child Protection Policy requires two adults available when children gather on the church property.
Olivet Preschool teachers adhere to the Christian faith; possess a BA/BS degree, preferably in education, preferably with teaching experience; and are trained in First Aid/Child CPR/AED, (required of all staff persons). More detailed bios are available on the Olivet Preschool website.
Staff Background and Criminal History Checks:
As required by the Code of Virginia, all teachers and staff voluntarily provide information to secure both Background and Criminal History Checks.
Staff Health Reports:
Annually, each staff member is required to have a licensed practicing physician complete a Staff Health Report in compliance with the Code of Virginia, certifying each staff member is free from any disability that would prevent the employee from caring for children.
Public Liability Insurance:
The Olivet Preschool is covered by public liability insurance.
In accordance with the Code of Virginia, the Preschool is religiously exempt from state licensing requirements.
The Olivet Presbyterian Church at 2575 Garth Road houses the Preschool. The condition of the building is excellent. Four rooms located in the basement area are used by the school. There is a play area on the grounds of the church. A kitchen is available, but snacks are the only food items provided.
For the 2017-2018 school year tuition is due monthly for nine payments. A 10% late fee will apply after the 10th of each month. Due dates are listed below. Checks may be mailed to Olivet Presbyterian Church, 2575 Garth Road, Charlottesville, VA 22901, or dropped off at Preschool. Please make checks payable to Olivet Preschool. The Preschool Committee reserves the right to address your child’s continuation in the program if payment issues arise. There is a $25 returned check fee. (No cash payments, please.)

The Preschool Committee acknowledges that circumstances may warrant early withdrawal from the program. A two week written notice is preferred. The following guidelines apply:
- Personal Behavior – Upon recommendation by a teacher and after counsel with the parent, a recommendation may be made to the Preschool Committee that a child be withdrawn due to personal behavior. The Preschool Committee reserves the right to address any reimbursements on an individual basis.
- Relocation – If a child is withdrawn due to family relocation, no refund is available.
- Other – The Preschool Committee will address any circumstances not noted above on an individual basis.
